Customer and Supplier Statements to Excel

How to export customer and supplier statements to Excel from your bank statement, what each one shows, and how to clean and match them to invoices.

Banknotes and a calculator on a table

At month end your manager asks two questions: how much did customers pay us, and how much did we pay suppliers? The answer is in the bank statement, mixed into one list sorted by date.

This guide shows how to export customer and supplier statements to Excel from your bank statement, and how to clean them and match them to invoices.

What is a customer statement in Excel?

It is a list of every amount that came into your bank account during the period. Most of it is customers paying sales invoices.

  • It shows what each customer actually paid.
  • You match it against the sales invoices you issued.
  • It supports receivables follow-up and output VAT.

What is a supplier statement in Excel?

It is a list of every amount that left your account: supplier payments, rent, fees and so on.

  • It shows what you actually paid each supplier.
  • You match it against purchase invoices and spot duplicate payments.
  • It supports payables follow-up and input VAT.

How to export customer and supplier statements to Excel

  • Upload the bank statement PDF to Bayainy.
  • Open the results page when processing finishes.
  • Choose Customer Excel or Supplier Excel.

Each file has the same columns as the full statement: date, description, amount, balance and automatic category. It is included in every paid plan, from 29 SAR a month.

Clean the lists before you use them

Not every deposit is a customer payment, and not every withdrawal is a supplier payment. Remove these, or put them in their own category:

  • Transfers between your own accounts.
  • Loans, loan repayments and owner funding.
  • Salaries, which are payroll, not suppliers.
  • Refunds from suppliers, which are deposits but not sales.

Match the lists against invoices

Sort the list by description, then use an Excel PivotTable to total the amounts per customer or supplier and compare each total with their invoices.

Any gap means an unpaid invoice or a payment without one. That is the idea behind bank reconciliation.

Frequently asked questions

Is a customer statement the same as an accounts receivable ageing report?

No. The bank statement shows only what you received. To see what customers still owe, you also need your invoices.

Which plan includes customer and supplier statements?

Every paid plan, from the Starter plan at 29 SAR a month. See pricing.

Can I combine statements from several banks?

Yes. Paid plans merge statements from several banks into one Excel file with the same columns.

Does it work with Arabic statements?

Yes. Arabic, English and bilingual statements are supported, and descriptions stay as the bank wrote them.
